How to process the deferrals using just one optional field in Revenue and Expense Deferrals |
Instead of manually specifying deferral settings in transactions, you can just specify a template code in one optional field.
Setting up Revenue and Expense Deferrals for this functionality
1. Select the "I Want to Use Templates to Specify Deferral Settings Automatically" option on the Features and Optional Fields tab of the R/D Options screen and click Save.

At this stage, the RDTEMPLATE optional field is created in Sage 300 Common Services and is automatically added to the Optional Fields setup of A/R and O/E modules. If you use R/D with other Sage 300 modules, you should manually add the optional field to the respective subledger(s).
2. Create templates using the R/D Templates screen.

3. Add template codes as the RDTEMPLATE optional field values in the Common Services Optional Fields screen to assist users to enter correct data (this step is optional).

4. Add the RDTEMPLATE optional field to Trans. Optional Fields of the revenue or expense account that you want to defer.

Entering transactions using the R/D Template
1. Create a transaction (for example an O/E Order) and add the Optional Field value to the corresponding details.

In our example the RDTEMPLATE optional field value will be transferred to the O/E Shipment, O/E Invoice and A/R Invoice transaction details.
Tip: For a specific item, you can add the RDTEMPLATE optional field to the item master record and enter a value for it. When creating an O/E Transaction, the RDTEMPLATE optional field value specified on the item will be copied to the item detail optional fields.

Revenue and Expense Deferrals for Sage 300 simplifies deferral accounting through predefined schedules and comprehensive reports, eliminating spreadsheet models. This product helps companies with the amortization of maintenance and service related contract revenue and expense amounts over the life of the contract. Companies get the advantage of compliance with the Public Company Accounting and Investor Protection Act of 2002 (also known as the Sarbanes-Oxley Act (SOX) of 2002). Although not specifically covered under the Act, non-public entities are also finding that bankers, investors, and acquisition candidates are now conditioned to expect increased transparency and real-time disclosure, effectively placing a greater accounting and reporting burden on companies who are not legally obligated to comply with the Act. Revenue and Expense Deferrals helps companies with meeting these additional demands.
Revenue and Expense Deferrals can be configured to process transactions from any Sage 300 module, including 3rd party SDK applications, as long as they post their transactions to G/L and they support the Transaction Analysis and Optional Fields Creator module.

Revenue & Expense Deferrals™ Maintaining a healthy cash flow is important for the success of any business and companies need to be prepared for the unexpected. A sale today may create an unplanned expense tomorrow, which may put a company’s balance sheet at risk. Almost too often, businesses are in a rush to report their sales as revenue without taking into consideration some of the contractual obligations they may still be liable for:
- Airlines may be subject to refunding passengers for their tickets up until they board their flight.
- Software companies may be subject to providing services throughout the lifetime of annual customer support contracts.
- Online retailers may be subject to refunding customers if goods are lost in shipment.
Revenue & Expense Deferrals, developed by SYSTRONICS llc, is a module of the Sage 300 software that allows companies to amortize specific revenue streams, only recognizing them at a later date once all contractual obligations or other pre-defined parameters have been met. As a result, businesses are able to better manage their cash flow and reduce the impact of any unexpected financial shortfalls. The module also helps companies minimize risk by deferring expenses such as rent and insurance over the lifetime of their contracts.
Revenue & Expense Deferrals also helps organizations with financial compliance. Many countries have new laws and updated statutes that make businesses subject to compliance regulations, such as the Sarbanes-Oxley Act of 2002 (SOX), which is applicable to American companies and any organization conducting business with the US. Additionally, Revenue & Expense Deferrals promotes transparency within an organization’s accounting and reporting practices, which is fast becoming a standard requirement from most banks, financial institutions and investors today.
