With Gulf Utilities for Payroll, SYSTRONICS offers Sage 300 users in Gulf Cooperation Countries a comprehensive, flexible and fully integrated HR solution, which meets the basic needs and the legal requirements of a large number of companies. Gulf Utilities for Payroll looks and feels like Sage 300, making its integration with core Sage 300 financial and operational modules easy. The application has a modular design to offer the user a number of options to choose from and adapt to their needs.

The Main Module acts as the application engine and is required for all sub-modules.
The sub-modules grouped under Gulf Utilities integrate seamlessly with one another, yet can be used independently with Sage 300 Payroll. Each sub-module can be purchased separately and activated with Sage 300 Payroll individually. The Gratuity Calculator sub-module accrues gratuity benefits with ease and on a timely and accurate manner. Flexible parameters in Gulf Utilities are used to configure gratuity calculation rules and make them conform to Labor Laws in different Gulf Cooperation Countries, in addition to complying with company specific policies. The Leave Management submodule helps in tracking various types of leaves; paid, unpaid, annual, short, medical, etc. With the Document Management sub-module, companies capture, maintain and manage information on employee related documents, and store electronic images of documents, which are accessible only to authorized staff. The End of Service sub-module calculates and prints a full and final settlement statement, which takes into account unpaid salaries, gratuity liability, advances paid, unpaid leaves, etc. The information generated and the amounts calculated in the Gulf Utilities modules are first reviewed and verified by authorized HR and accounts personnel, before being posted to Payroll.
Using G/G Document Management, you can print Employee Lists or Pay Slips with Employee Photos (images); an Employee Annual Review report with an Employee Photo (image) and Review Details (Rich Text), and many more, directly from your Sage 300. It's fast, easy and economical!

Q. Is it possible to buy and use separate modules of Gulf Utilities for Payroll?
A. Gulf Utilities for Payroll modules are seamlessly integrated with each other, however, they can be purchased and used independently. Main Module must be purchased and active for any other module to work.
Q. Is it possible to define different gratuity calculation schedules for different employees?
A. Yes, it is possible to define different gratuity settings for different employees. Also, it is possible to define different settings for gratuity calculation when the employee resigns or is terminated by the company.
Q. Which amount serves as a base for calculating the gratuity?
A. Basic Salary is assigned to each employee in Gulf Utilities for Payroll, which is the base for calculating the gratuity amount using Gratuity Settings defined for the employee.
Earning of Salary and Wages type with Flat or Fixed calculation method or Cash Benefit created in Payroll can be selected as a Basic Salary.
Q. How can mandatory documents be defined as mandatory using the Document Management module?
A. It is possible to mark the document as mandatory in GG Setup. To see which documents are missing for each employee, the Employee Missing Documents report can be printed.
Q. How can document expiration dates be monitored using the Document Management module?
A. It is possible to define the document types, which must have expiry date in GG Setup. For such documents, users must enter an expiry date in order to be able to proceed with the data entry. Documents can later be aged by their expiry dates using the Documents Expiry report.
Q. Does the End of Service module automatically calculate the final balances for all earnings and deductions assigned to an employee?
A. End of Service calculates amounts only for the Earnings/Deductions that meet certain criteria:
- Earnings of Salary & Wages type with Flat or Fixed calculation method
- Deductions with Flat calculation method
- Cash Benefits
- For Earnings/Deductions of Accrual category, the system suggests the remaining balances (amount/hours) to pay
Q. Is the gratuity amount automatically calculated when processing End of Service?
A. If the Gratuity Calculator module is active for the company, gratuity payment amount is automatically calculated in the End of Service processing, according to the gratuity settings.
Q. What if the End of Service is processed for an employee who has open loans in the Loan Management module?
A. - If the employee has an Open external loan, the application may give a warning or an error message.
- If the employee has an Open or Approved internal loan, an error message is shown.
- If the employee has posted internal loan, when the End of Service is processed, the pending internal loan amounts are filled for the corresponding loan payment deduction codes.
- If the employee has an Open or Approved internal loan, an error message is shown.

Q. Are public holidays or weekends considered when calculating the leave days?
A. No, public holidays and weekends are included in the calculated leave days. To exclude those days from leave days, separate leave entries should be posted for each week/period.
Q. How the employee's leave salary is calculated?
A. It is possible to select the Earning/Deduction codes that comprise the employee's leave salary. The system calculates the total leave pay based on the selected Earning/Deduction amounts. All earnings of Salary and Wages type, cash benefits and deductions with the Flat calculation method assigned to the selected employee are available for selection. It is always possible to override the calculated leave amount.
Q. How the daily salary is calculated for the Leave Management module?
A. The daily salary is calculated by dividing the employee monthly salary by the number of days in a calendar month or by a fixed number of days. The calculation method is selected in the GG Options screen. The option of selecting the calculation method is available starting from version 2017C PU1. Before version 2017C PU1, the daily salary is calculated by dividing the monthly salary by the number of days in a calendar month.
Q. Is it possible to enter unpaid leaves in the Leave Management module?
A. Yes, it is possible to enter paid, partially paid and unpaid leaves by specifying the pay percent on the leave entry.
Q. Who can approve internal loans in the Loan Management module?
A. Users, who have the "Approve Loan" security right, can approve or reject loans.
Q. How can I buy Gulf Utilities for Payroll?
A. To buy this product you need to have access to the SYSTRONICS Partners Area of our website. To do so you should create a partner account. Once you have the account, log in and request an activation code. After getting it you can download the product and use it. The activation code will be dispatched to you after the settlement of the invoice.
